Feather PMS, Inc. ("Feather," "we," "us," or "our") provides a cloud-based property management platform for professional vacation rental operators, including calendar and channel management, reservation handling, guest communication, direct booking websites, task automation, owner payouts, and financial reconciliation (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the Service, visit featherpms.com, or otherwise interact with us.

1. Scope of This Policy

This Policy applies to information we collect from three categories of individuals: (a) our direct customers — property managers and operators who subscribe to the Service ("Customers"); (b) Customers' staff and authorized users; and (c) guests, property owners, and vendors whose information Customers submit to or collect through the Service ("End Users"). Where we process End User data on behalf of a Customer, the Customer is the data controller and we act as a data processor or service provider, subject to our customer agreements.

2. Information We Collect

2.1 Account and Business Information

  • Name, business name, email address, phone number, and billing address of Customers and authorized users.
  • Login credentials and account preferences.
  • Property portfolio details (number of units, locations, property types).

2.2 Guest and Reservation Data

  • Guest names, contact details, and identification information submitted through bookings.
  • Reservation dates, rates, payment status, and special requests.
  • Guest communications sent or received through the Service, including messages routed from booking channels (e.g., Airbnb, Vrbo, Booking.com).

2.3 Payment Information

We (or our payment processing partners, acting as merchant of record or payment facilitator) collect payment card numbers, bank account details, and related billing information necessary to process guest payments, owner payouts, vendor payments, and Customer subscription fees. Full payment card data is generally collected and stored by our PCI-compliant payment processors, not on our own servers.

2.4 Property and Listing Data

  • Property descriptions, photos, amenities, and pricing rules.
  • Owner statements, financial reconciliation records, and expense data.
  • Access control data, such as smart lock codes and entry instructions, where a Customer enables that integration.

2.5 Usage and Device Data

  • Log data such as IP address, browser type, device identifiers, and pages viewed.
  • Cookies and similar tracking technologies (see Section 5).
  • Performance metrics and analytics generated through use of the Service.

3. How We Use Information

We use the information described above to:

  • Provide, operate, maintain, and improve the Service, including calendar syncing, channel distribution, booking management, and reporting.
  • Process payments, owner payouts, and vendor disbursements.
  • Communicate with Customers and End Users about the Service, including support, updates, and administrative notices.
  • Facilitate guest communication and automate messaging on a Customer's behalf.
  • Monitor, detect, and prevent fraud, abuse, and security incidents.
  • Analyze usage trends to improve features, performance, and user experience.
  • Comply with legal obligations, enforce our agreements, and protect our rights and the rights of our users.

4. How We Share Information

We do not sell personal information. We may share information as follows:

  • Service Providers: with vendors who perform services on our behalf, such as cloud hosting, payment processing, customer support tooling, analytics, and email delivery, under contractual confidentiality and data protection obligations.
  • Booking Channels and Integration Partners: with online travel agencies, channel managers, smart lock providers, and other third-party platforms a Customer connects to the Service, as directed and configured by the Customer.
  • Payment Processors: with payment processors and financial institutions to process payments and payouts.
  • Legal and Safety: where required by law, subpoena, or legal process, or to protect the rights, property, or safety of Feather, our users, or the public.
  • Business Transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
  • With Consent: for any other purpose disclosed to you at the time information is collected, with your consent.

5. Cookies and Tracking Technologies

We and our service providers use cookies, pixels, and similar technologies on featherpms.com and within the Service to recognize users, remember preferences, analyze traffic, and support marketing efforts. You can control cookies through your browser settings; disabling cookies may limit certain features. Where required by law, we will request consent before placing non-essential cookies.

6. Data Retention

We retain personal information for as long as necessary to provide the Service, comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Retention periods vary depending on the type of data and applicable legal requirements (for example, financial and payout records are typically retained longer to satisfy recordkeeping obligations). When information is no longer needed, we take reasonable steps to delete or anonymize it.

7. Data Security

We implement administrative, technical, and physical safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction, including encryption in transit, access controls, and regular security reviews. No system is completely secure, and we cannot guarantee absolute security of information transmitted to or stored by the Service.

8. Your Privacy Rights

Depending on your location, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, or to opt out of the sale or sharing of personal information (which we do not engage in). Customers acting as data controllers are responsible for responding to requests from their guests, owners, and vendors, and we will provide reasonable assistance to Customers in fulfilling such requests. To exercise a privacy right directly with us, contact us using the information in Section 12.

9. International Data Transfers

We may process and store information in the United States and other countries where we or our service providers operate. Where required, we rely on appropriate safeguards, such as standard contractual clauses, to legally transfer personal information across borders.

10. Children's Privacy

The Service is intended for business use by adults and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can take appropriate action.

11. Third-Party Links and Integrations

The Service may link to or integrate with third-party websites, booking channels, and applications that are not owned or controlled by Feather. This Policy does not apply to those third parties, and we encourage you to review their privacy practices independently.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised version with an updated effective date and, where changes are material, provide additional notice as appropriate. Continued use of the Service after changes take effect constitutes acceptance of the revised Policy.

13. SMS / Text Messaging

We collect mobile phone numbers that you provide — for example, through the demo request form on featherpms.com — in order to send you text messages about your demo, account, and support requests. Consent to receive text messages is opt-in and is collected separately from email communications; providing it is never a condition of using the Service or requesting a demo. Message frequency varies, and message and data rates may apply. You can opt out at any time by replying STOP, and reply HELP for help. We do not sell your mobile number or your text-messaging consent, and we do not share them with third parties for those parties' own marketing purposes.
